How to Reduce a PDF's Size for an Online Form

Updated November 7, 2026

To get a PDF under a form's limit, first remove the pages you don't need, then compress what's left to a target just under the limit. Text PDFs usually shrink without losing anything. Scans are bigger, so they have to give up some sharpness, and it's worth checking the small print before you upload.

Compress a PDF to 200 KB

Find out what kind of PDF you have

Open the PDF and try to select a word. If you can highlight the text, it's a text PDF, made from a document on a computer. If you can't, it's a scan or a photo of a page, and each page is really a picture.

This matters because pictures take up far more space than text. A scanned page can be many times the size of the same page typed out, so scans are nearly always the reason a PDF is too big.

How to get under the limit

Work in this order. Each step leaves more room for the pages you keep.

  1. 1Check the form for the limit, and whether it's per file or for the whole application.
  2. 2Take out anything the form didn't ask for with Delete PDF Pages. Blank backs of scanned pages are the easiest win.
  3. 3If the form takes several files, keep each document separate, so they don't have to share one limit.
  4. 4Compress to the size you need: 100 KB, 200 KB, 500 KB or 1 MB.
  5. 5Open the result and zoom in. Stamps, signatures and small print should all still be readable.

Which target to pick

The right size depends on the form and how much is in the file. This is a rough guide, not a rule.

LimitWhat usually fitsTool
100 KBOne or two pages at mostCompress to 100 KB
200 KBA certificate or ID scanCompress to 200 KB
500 KBSeveral scanned pages or a short reportCompress to 500 KB
1 MBA resume or a longer documentCompress to 1 MB

What you give up

A text PDF can often be tidied up with nothing lost. If it still doesn't fit, or it's a scan, each page has to be saved as a picture at a lower resolution. It stays readable down to a point, but the text can no longer be selected or searched.

The tool tells you which of these happened. If a form needs searchable text, and pages had to become images, try a larger target or remove more pages instead.

Better scans make smaller files

Scanning well does more than compressing hard. Lay the page flat in good light, avoid shadows, and fill the frame with the page, so there's no desk around it.

Use black and white for plain documents if the form allows it, since color adds a lot of size. If you've scanned to images, Image to PDF puts them into one file, and you can merge several PDFs if the form wants a single upload.

Why a form still rejects your PDF

If the size looks right but the upload fails, check these.

What went wrongHow to fix it
The form counts differentlyAim a little under the limit, so the file fits however the form measures it.
It's password protectedRemove the password with Unlock PDF, if it's yours to remove.
The form wants a JPGConvert a page with PDF to JPG.
Too many pages for the limitSplit the PDF if the form takes several files, or keep only the pages it asks for.
